Boost’s approach to using Artificial Intelligence in the award entry writing process

Boost’s engagements with clients are complex and interpersonal, so primarily managed by humans. All awards entries are human authored, as this is what judges prefer. We do use AI, but strictly in line with our AI policy outlined below.

Firstly, a note about data privacy and security

We are Cyber Essentials accredited with a fully secure and comprehensive, integrated cloud service ecosystem to manage our data, communications, and collaboration. Any and all use of AI within our platform is processed in a confidential and encrypted manner backed by industry-leading security protocols; no open public AI services are utilised when processing client-confidential data.

 

  • All our engagements with clients are in-depth and personalised. The criteria of each award are different, and each entrant will have to consider how its strengths meet those criteria. All our entries are written by our staff. We look carefully at the requirements to enter the award, assess the client’s business, and then meet with the client to agree how we will work together. This process is ongoing, with continued interaction either one-on-one or in groups. Conducting each project with such diligence is our business; and this level of interaction and collaboration is why we have repeat clients. Save for recording meetings, there is no role for AI here.  
  • AI can be useful in specific contexts.
    • It allows us to quickly review the volume of public domain data so we can verify information and provide background.
    • AI can quickly provide wording which we can and will amend so that it fits into our end product.
    • We also use AI to summarise calls, and deploy tools like Microsoft Copilot.
  • The use of AI is ancillary and supportive, but the creativity always comes from our staff.
  • We have granulised our process into nine steps, and have identified where AI can be used. We can explain our limited use of AI for client content in all decisions made during the authoring of an award entry or deliverable.
  • Our staff have been trained regarding the use of AI, and we also have an internal policy. Understanding the use of AI is part of our Cyber Essentials and GDPR compliance.
  • We will only use enterprise AI tools (entirely managed within our estate) when handling client-sensitive information. By ‘client-sensitive’ we mean anything sent to us that is not available in exactly the same format in the public domain.

All AI used within Boost will be listed in a register of AI tools. All such tools will be vetted before being used for the first time. Data privacy and IPR ownership will be factored in, alongside their performance as tools.
